Frequently Asked Questions

Who is eligible to apply for student financial support?

Advanced undergraduates and graduate students are both welcome, and students in Physics Departments in New York State — or its neighboring states and provinces — may apply for a grant to attend the symposium.

How much can a student receive, and what expenses are covered?

The NYSS provides awards of up to $100 per student when the required receipts are submitted, covering travel and hotel accommodation costs. Food expenses are not reimbursed.

What are the requirements to receive an award?

Students must register for the symposium at no cost, attend the banquet and buy a half priced banquet ticket, and attend every scheduled session. When several students from one institution request reimbursement, transportation and room costs should be shared by car pooling and rooming together.

How do I submit an application?

The application is a short paragraph stating the grant amount requested and how the funds will be used. Both the student and the Department Chair must sign it; for email applications, the student sends the paragraph to the Department Chair, who forwards it to the NYSS representative, with the e-mail "From" addresses serving as signatures. Emailed applications are preferred.

When is the application deadline?

Applications must arrive at least 10 days before the symposium.

How and when will I be paid?

Once your expenses and attendance are documented, the American Physical Society will send you a check directly. If more than one student from the same institution is supported, one student will be named as the check recipient and is expected to distribute any amounts owed to fellow students after the APS check arrives.

Student Financial Support

Who Qualifies for Student Financial Support

These symposia suit advanced undergraduates and graduate students alike.

What the Awards Cover

The NYSS provides student awards that offset travel and hotel accommodation costs. Each student may receive up to $100 upon submitting the required receipts.  If several students from the same institution seek reimbursement, we expect transportation and room costs to be shared.  In particular, students should car pool and room together whenever possible.  Food expenses are not reimbursed.  Students must register for the symposium at no cost, attend the banquet and buy a half priced banquet ticket, and attend every scheduled session.

How Reimbursement Works

Once your expenses and attendance are documented, the American Physical Society will send you a check directly.  If more than one student from the same institution is supported, one student will be named as the check recipient and is expected to distribute any amounts owed to fellow students after the APS check arrives.

How to Apply for a Grant

Students in Physics Departments located in New York State -- or in its neighboring states and provinces -- are invited to apply for a grant to attend the symposium. The "application" is a short paragraph stating the grant amount requested and how the funds will be used.  Both the student and the Department Chair must sign it. For email applications, the student sends the application paragraph to the Department Chair, who forwards it to the NYSS representative (see address below). The e-mail "From" addresses serve as signatures.  Emailed applications are preferred.  A single application may cover several students, but each student's name and mailing address must be included. Applications must arrive at least 10 days before the symposium and should be emailed to:
